A thorough assessment documents what exists, what needs attention now, and what will need attention in the near future. Site and Exterior Assessment
The site assessment covers everything outside the building footprint. Drainage, grading, paving, and landscaping all affect the building's condition and can indicate problems not yet visible inside.
- Grading and drainage: Does the site slope away from the building on all sides? Are there signs of ponding water, erosion, or drainage system failure?
- Parking surfaces: Document cracking patterns, potholes, settling, and sealcoat condition. Note ADA compliance of accessible spaces, signage, and routes
- Sidewalks and curbing: Identify trip hazards, heaving, and settling. Measure and document any displacement greater than one-quarter inch
- Retaining walls and fencing: Check for leaning, cracking, or displacement. Note any compromised security fencing on vacant properties
- Landscaping and irrigation: Assess tree proximity to structures, overgrown vegetation, and irrigation system operation. Document any vegetation in contact with the building

Structural and Building Envelope
The structural assessment evaluates the building's load-bearing systems and weather-resistant envelope. This is where the most expensive problems are found — foundation issues, structural deterioration, and envelope failures all carry significant repair costs.
- Foundation: Look for cracks wider than one-eighth inch, displacement, and moisture intrusion. Note any evidence of previous repair work. In regions with expansive soils, monitor for seasonal movement patterns
- Framing and load-bearing walls: Identify any signs of deflection, bowing, or settlement. In wood-frame structures, check for moisture damage, insect damage, and connections at load points
- Roof system: Document membrane condition, flashing integrity, drainage function, and penetration sealing. Note the roof's estimated age and remaining useful life. Take core samples on flat roofs when warranted
- Exterior walls: Assess masonry for cracking and mortar deterioration, siding for damage and moisture intrusion, and stucco for delamination. Check weep holes and drainage planes in cavity wall systems
- Windows and doors: Document seal integrity, hardware operation, and glazing condition. Note any evidence of water intrusion at window heads or sills
Mechanical, Electrical, and Plumbing Systems
MEP systems represent the operational backbone of any building. Assessing their condition requires documenting current operation, maintenance history, and estimated remaining useful life.
- HVAC: Document equipment age, manufacturer, model, capacity, and visible condition. Check maintenance records if available. Note any unusual noises, vibrations, or odors during operation. Test heating and cooling function in each zone
- Electrical: Inspect main service panel for capacity, condition, and code compliance. Check for evidence of overheating, improper wiring, or outdated components (Federal Pacific, Zinsco panels are immediate flags). Test GFCI and AFCI protection
- Plumbing: Run water at all fixtures, check for leaks under sinks and at connections. Document water heater age and condition. Inspect visible supply and drain piping material — galvanized steel and polybutylene are replacement concerns. Check water pressure

- Walls and ceilings: Look for water stains, cracking, and mold. Ceiling stains often indicate active or historical roof or plumbing leaks
- Kitchen and bath: Assess fixture condition, countertop integrity, cabinet operation, and ventilation. Note any mold or moisture damage around wet areas

Assessment Differences by Property Type

- Single-family residential: Focus on structural integrity, habitability systems, safety hazards, and cosmetic condition. Standard home inspection scope with additional attention to vacancy-related deterioration
- Multi-family: All residential items plus common area condition, shared mechanical systems, elevators, fire protection, and ADA compliance. Capital reserve studies are critical for multi-family portfolios
- Commercial office and retail: ASTM E2018 methodology with emphasis on building systems life-cycle costs, tenant improvement condition, and code compliance
- Industrial and warehouse: Structural loading capacity, overhead door and dock equipment condition, floor slab condition, and specialized systems such as compressed air, three-phase electrical, and dust collection
Documentation and Reporting Standards
Assessment findings are only as valuable as their documentation. Reports should include timestamped photographs keyed to specific findings, GPS-verified location data, condition ratings using a consistent scale, cost estimates for identified repairs, and remaining useful life projections for major systems.
